POLICY FORM CONTROL
Restore Approved Policy Forms
Prove the approved policy form master can be restored without relying on the working folder.

01 / CONTEXT
Define the control decision
Synchronization and access restriction do not guarantee recovery. insurance agency operations need a separate backup with a tested restore path so deletion, corruption or a failed edit does not stop policy issuance.
Prove the approved policy form master can be restored without relying on the working folder.
02 / PROCEDURE
Run the control sequence
- 01
Back up the approved master to a separate controlled location.
- 02
Record the version and backup completion time.
- 03
Restore into an isolated test folder.
- 04
Open and compare the restored blank form.
- 05
Document the recovery owner and next test date.
03 / EVIDENCE
Preserve proof without personal data
A defensible control record identifies the policy-form owner, approved filename, jurisdictional edition, authoritative storage path, permitted editors, compliance reviewer, backup evidence and next review date. It should not contain policyholder, claimant, premium, account or credential information. Use fictional policy forms during every technical test.
Recheck the arrangement after changes to Windows, storage, Folder Protect, permissions, staff roles or the policy-form set. Confirm both usability and recovery: an authorized user should reach the released policy form, an unauthorized account should not alter the master, and the recovery owner should restore the approved jurisdictional edition without depending on the working folder. Preserve evidence of unexpected behavior instead of repeatedly changing controls.
Keep the claim narrow. Local restrictions can reduce accidental access or changes on a tested computer, but they do not determine insurance regulation, validate form wording, administer identities, provide regulatory filing, create version history or replace backup. Escalate those requirements to the system and owner responsible for them.
During review, ask a second operator to follow the written procedure without verbal help. Record whether the person can identify the master, create the intended working copy, recognize the current release and find the recovery owner. This usability check reveals ambiguous filenames, hidden dependencies and undocumented knowledge before a real policy issuance deadline. Correct the procedure, then repeat the test with a clean fictional policy form and retain only minimal, non-personal evidence.
04 / BOUNDARY
State what the control cannot prove
Folder Protect is not backup, version history, disaster recovery or evidence that a restored form is approved for the intended jurisdiction.
Validate the exact Windows account, storage path and current software release. If centralized workflow, immutable history, identity governance, legal retention or regulatory filing are required, select systems designed for those jobs rather than broadening a desktop-control claim.
